Automatic Download of free full text PDF files (from PubMed Central)
CiteSmart (2.0+) offers the
possibility to automatically download PDF files when freely available from PubMed Central (PMC). Also please not that CiteClick and RefClick are available when surfing PubMed Central.
By default the 'automatic PDF download' is disabled. To enable it, go to the menu Edit>Preferences and then select the PDFs tab.
Users have the choice between four options:
- Do nothing about PDFs. CiteSmart will simply ignore them and won't check if a free PDF corresponding to a reference (in PubMed) exists.
- Automatically link the reference to the online PDF. The PDF won't be downloaded. The advantage of such option is that no matter where your library is (computer/folder etc...), the PDF will always be accessible. The drawback is that the PDF will be accessible ONLY IF you are connected to the internet.
- Automatically donwload the PDF and prompt the user each time where to put the file. This gives extra control to the user, but can become boring. FireFox and Flock Users: if you use RefClick/CiteClick with FireFox, this option will create serious issues that are unresolved at the moment. We strongly recommend not to use this option!
- Automatically donwload the PDF to a pre-defined folder. This is definitely the option we recommend. All PDFs will be in the same folder. The PDF file name is automatically chosen by CiteSmart as being the first words of the tilte and the year. If not possible, then a random name starting with cs will be attributed (ie. 'cs_aipuhdf.pdf'). You can rename a pdf linked to a file (see below)
Important considerations when downloading PDFs:
In the case of the two last options, downloading PDFs provide the user with the possibility to read a PDF even when offline. However extra care must be taken whenever moving/renaming the PDF files. To maintain the CiteSmart library integrity (meaning that the PDF will be found by CiteSmart when the 'View Linke File' command is invoked), the file must be moved or renamed within CiteSmart: right click on a reference and select the option 'Rename Linked File'.
Users must also be aware that currently, the library integrity won't be maintained if it is moved to another computer. PDFs are not moved along with the library. So if a user intends to use a same library on different computer, and assuming that they are both connected to the internet, then we recommend to choose the option 'Link the reference to the PDF online'.
We are taking steps to provide users with the ability to organize their libraries so that they can be used on different computers, while maintaining valid links to local PDF (and other) files.
When and how a PDF is downloaded/linked? This happens when two conditions are met: 1)- A PubMed reference is written to the library ('My References' key). The reference when written must also have a valid URL field (from which CiteSmart finds the PDF location). 2- If a PDF file is freely available then CiteSmart will download and/or link it to the reference. When a PDF is found, it is linked to the reference and a small icon appears next to the reference (in CiteSmart's library content) to indicate that a file has been linked to it. The following picture illustrate the integration of PubMed Central and the icon showing a file associated to a reference.
